Illustrative draft · team invitations

Requirement · INV-01

An admin can invite a teammate by email. A valid invitation grants access to the workspace; an expired invitation grants no access.

Process diagram

  1. Admin sends invite
  2. Teammate opens link
  3. Check expiry

Valid → join workspace

Expired → request new invite

Test case · INV-01 · expired invitation

Open an invitation more than 7 days after it was sent.

Expected result: The workspace remains inaccessible.

  • Documents

    Headings, lists, code and tables

  • Editable diagrams

BPMN, Mermaid and D2, not screenshots

  • Test cases

Steps and expected results, next to the spec

  • AI assistant

Reads the whole page and edits any item on it

One feature. Three artifacts to review.

Follow the same feature from a rough idea to a requirement, a process diagram and a test case.

Your starting point

“Let users invite a teammate by email. Invitations expire after 7 days. Only workspace admins can send them.”

Requirement · INV-01

An admin can invite a teammate by email. A valid invitation grants access to the workspace; an expired invitation grants no access.

Acceptance criteria

  • Only admins can send invitations.
  • Invitation links expire after 7 days.
  • An expired link offers a way to request a new invitation.

Process diagram

  1. Admin sends invite
  2. Teammate opens link
  3. Check expiry

Valid → join workspace

Expired → request new invite

Test case · INV-01 · expired invitation

  1. Step 1

Open an invitation more than 7 days after it was sent.

Expected result: The workspace remains inaccessible.

  2. Step 2

    Request a new invitation.

Expected result: The user sees confirmation of the request.

AI gives you a starting point. You check the assumptions and edge cases before the team builds.

How it works

Draft. Review. Refine. Share.

AI starts the draft. You decide when it’s ready.

  1. 01

    Describe the feature

Create a page and explain the feature in plain words, or paste the meeting notes you already have.

  2. 02

    Generate a starting point

Ask the assistant for requirements, a process or sequence diagram, and initial test cases.

  3. 03

    Check and refine

Review assumptions and missing paths. Edit directly or ask the assistant to change the relevant artifacts, then verify the result.

  4. 04

    Review with your team

Share the page, discuss specific details in comments and agree on what to build and test.

Why Docion

Keep the whole feature in view.

Requirements, diagrams and tests belong in the same conversation.

Edit the artifacts themselves

Refine the text, change a diagram or adjust a test step. The draft stays editable.

Review with the same context

Comment on the exact paragraph, diagram element or test step, and share one page with the team.

Reuse what you already know

Save common blocks in storage, see where they are used and choose when to update their copies.

Who it’s for

A useful starting point for your next task.

Business and systems analysts

Turn meeting notes into a reviewable process.

Draft requirements and process diagrams from your notes. Check the assumptions with stakeholders and capture their feedback on the page.

Product managers and owners

Give a feature idea enough detail to discuss.

Turn a backlog idea into requirements and acceptance criteria. Bring a concrete draft to refinement so the team can challenge the details.

QA engineers and leads

Start test design alongside requirements.

Review test cases while the feature is still being defined. Add missing paths and expected results next to the requirements they cover.

Beyond the first draft

Documentation you can keep working on.

Use the same workspace to create, collaborate and maintain your product documentation.

Create

  • Documents, editable BPMN, Mermaid and D2 diagrams, and structured test cases
  • AI assistance across the page
  • Spaces, subspaces and searchable pages

Collaborate

  • Real-time editing and comments on individual artifacts
  • Mentions and notifications
  • Roles, subspace access and public sharing

Maintain

  • Reusable blocks and articles built from storage
  • Version comparison and restoration with Pro
  • Choose when to update reused blocks and resolve conflicting edits

For developers

Bring the requirements into your coding workflow.

Connect your coding assistant to your Docion space over MCP. It can read requirements, diagrams and tests, and help update documentation as the implementation changes.

Uses your connected assistant. No Docion AI credits are consumed.

Before you start

A few things to know.

Is the AI draft ready to build from?

Treat it as a first draft. Check assumptions, business rules, alternative paths and expected results with your team before implementation.

Will changing a requirement update every diagram and test?

You can ask the assistant to revise related artifacts. Review those changes yourself; do not assume every dependent artifact updates automatically.

What can I use for free?

Every new user gets $10 in AI credits to test the assistant. Documents, diagrams, test cases and collaboration remain free to use manually. Pro adds more AI credits, version history and backups.

Can I keep Docion on my own servers?

A self-hosted deployment is available, with source access and offline operation. Contact us to discuss deployment and the connectivity needed for your chosen AI provider.

How do I get started?

Sign in with Google or email and create a page. Use your $10 in trial credits to ask the AI for requirements, diagrams and test cases, then review and refine the draft.
